Terms and Conditions of Service
1. General Terms 🌐🌈🏃
These terms and conditions may be amended from time to time and apply to all of our services.
Iceland by Guide (Icelandic corp.reg.no. 690216-0270) cannot accept liability for any loss, damage, accidents, injuries, or sickness during your tour. The same applies to any changes in tour schedules due to weather, strikes, or any other force majeure events. 🚫💨🌬
Tour operators reserve the right to change routes, schedules, and itineraries if needed due to weather, road conditions, or other unforeseen reasons. Most travelers are not aware of how dynamic the weather changes can be in Iceland. Iceland by Guide strongly advises all travelers to purchase comprehensive travel insurance to minimize possible losses due to unforeseeable situations during their travel. 🌧️⛅🌌
2. Booking and Payment ✉️📤🛒
By completing a reservation through our website, you acknowledge and agree to have read, understood, and agreed to the terms and conditions set out below.
Iceland by Guide is a tour operator offering day tours, multi-day tours, and adventure tours in Iceland. Bookings can be made directly through Iceland by Guide, either via email at hello@icelandbyguide.com or via the website www.icelandbyguide.com. Payments are currently processed through PayPal. If you experience any difficulties during booking, contact our service team at info@icelandbyguide.com. ✨🏛️🎡
Ensure all necessary details are provided upon booking. After completing the booking process, you will receive a booking confirmation, including a booking number and voucher(s) for the services booked. Please bring your voucher(s) on the day of your tour as proof of payment. 📝📢💳
It is your responsibility to verify all details on your confirmation and related documents. Contact us immediately if there are discrepancies, as changes may not be possible close to the departure date. Iceland by Guide is not responsible for booking errors made by customers, though we will make every effort to assist where possible. ⚡️🌍🚜
3. Cancellations of Day Tours by Customers 🚫🌧️✉️
A cancellation confirmation must be sent via email to info@icelandbyguide.com and be confirmed by us to be valid.
Cancellations made up to 24 hours before departure will receive a full refund.
No refund is given for cancellations made less than 24 hours before departure, including bookings made within 48 hours before the tour.
4. Cancellations of Multi-Day Tours by Customers 🗓️💵⏰
A cancellation confirmation must be sent via email to info@icelandbyguide.com and be confirmed by us to be valid.
Cancellations made up to 7 days before departure will receive an 85% refund. A 15% service fee will be charged to cover planning and arrangement costs.
No refund is given for cancellations made less than 7 days before departure.
5. Changes or Cancellation by Iceland by Guide ❄️🌬️✉️
Iceland by Guide reserves the right to alter tour itineraries due to weather or road conditions to ensure passenger and staff safety. If we cancel a tour, we will make every effort to provide alternative arrangements at no additional cost. Cancellations by us are entitled to a full refund. ✨🚀🔧
6. Pick-Up 🎡🚚⏰
During booking, you can select a pick-up location and time. If you fail to show up for the scheduled pick-up, your reservation will be non-refundable.
Pick-up location updates must be sent to info@icelandbyguide.com at least 24 hours before departure. Failure to provide this information may result in missed tours, and Iceland by Guide will not be responsible. 🚫🌧️🚑
7. Rental of Equipment and Extras 🚵🌦️🌌
Extras and rental gear can be added during booking or on location. All extras and rental gear reservations are final and non-refundable. If you rent equipment but choose not to use it, no reimbursement will be issued. 🚛🔄🌈
8. Single Supplement Fee 🔒🏨🛌
For multi-day tours, a single supplement fee is mandatory for solo travelers to secure a private room. If unpaid, Iceland by Guide reserves the right to accommodate solo travelers in a shared twin room with a fellow traveler of the same gender. ❤️🛏️🛋
9. Prices and Currency 💸💶💵
All prices are in Icelandic Krona (ISK). Iceland by Guide is not responsible for currency fluctuations or additional fees, such as bank transfer or credit card fees. ⚡️💳🌐
10. Adventure Travel and Client Responsibility 🌄🌞⛰
By booking an activity, you accept the inherent risks of adventure travel. Flexibility is required, as itineraries may be altered due to unforeseen circumstances. Participants must have a fitness level appropriate for the tour and bring necessary equipment. ⚡️🏃🚩
For public tours, participants must be at least 7 years old. For adventure tours, the minimum age will depend on the physical requirements and risks of the activity and will be communicated during booking. Private tours do not have age restrictions. 👶🌍⛰
11. Personal Travel Insurance 🚫🌧️⚖️
Individual travel insurance is not included in tour prices. Customers are responsible for obtaining insurance covering medical costs, cancellations, and emergencies. Iceland by Guide will not be held liable for personal belongings, luggage, or rescue costs. 🛠️🚨🌲
12. Tour Minimums and Partner Operators 🛕🌎✈️
Iceland by Guide reserves the right to cancel tours if the minimum participant requirements (2 for jeep tours, 5 for bus tours) are not met 24 hours before departure. Bookings may also be transferred to partner operators offering similar services at no additional cost. 🔄🎩👩🎢
13. Medical and Dietary Conditions 🍷🌿♿
Medical conditions that may affect your tour experience must be disclosed during booking. Iceland by Guide reserves the right to refuse service to customers unfit for tours or under the influence of alcohol or substances. 🌾❤️🔄
14. Environmental Responsibility 🌱🌎♻️
Iceland by Guide is committed to sustainable tourism and aims to become a top leader in eco-responsible tourism in Iceland. To achieve this, we are actively doing the following:
Providing reusable flasks for water.
Organizing tree planting programs, where guests can participate manually or contribute financially.
Promoting slow travel concepts with deeper immersion into Icelandic culture and nature.
Exploring hybrid vehicle options, such as the Jeep Wrangler, for future tours.
Committing to sustainability in all marketing materials.
Cooperating with Icelandic environmental organizations focused on preserving glaciers, geothermal areas, and wildlife habitats.
Maintaining our Land Cruiser to the highest standards to ensure it operates as efficiently as possible.
Using eco-friendly products to clean our vehicles.
Educating customers on minimizing their environmental impact during tours.
Providing guidelines on respecting nature, avoiding littering, and staying on marked trails.
Offering and participating in carbon offset programs, including tree planting and funding renewable energy projects.

15. Our Liability & Compensation ⚡️🛍️🌌
Iceland by Guide accepts liability for negligence of its employees causing direct physical injury to customers, as required by Icelandic law. We are not liable for mishaps resulting from force majeure events or actions by third parties (e.g., airlines, hotels). ⛔️🏤⏳
16. Legal Venue 🔒⚖️✔️
The district of Reykjavik, Iceland, is the proper legal venue for disputes. Icelandic law applies to any issues arising between customers and Iceland by Guide. 📚🏛️🛠️

🌟My intention is have a clear win+win policy on when something comes up. I don't want to make money when you for instance get injured. 🍃
Nowadays there is usually in all booking- and credit-systems a fee related to booking anything at all, and it is not refundable to me - so I keep in most cases a residual fee according the transaction costs and my also my loss - in particular in case of a no show and someone else missed the opportunity to book me ... but so far this has never happened :) ✨🌟🎶
